Fee Waivers for University of Tennessee Employees

If you are a regular, full-time employee, you are eligible to enroll without payment of fees in undergraduate or graduate courses offered at a University of Tennessee campus as outlined in Personnel Policy 330. Your status on the published first day of classes for each term or summer school session determines eligibility for fee waivers.

If you are a regular, part-time employee working at least 50% time, the fee waiver benefit is prorated based upon the percent of time you currently work.

Fee waiver benefits are subject to the following conditions:

  • You have established academic eligibility by satisfying all admissions requirements and have followed established registration procedures.
  • You must work the prescribed percent of time for which employed
  • Time taken for class attendance must be made up, based upon an arrangement with your supervisor and department head.
  • If possible, courses should be taken outside the normal working day.
  • The needs of the office shall be considered by your supervisor and the department head in approving any class time and make-up time during the normal working day.
  • Course requests must be approved by the employee's department head and the Director of Human Resources or their designees.

Department heads may make arrangements directly with the instructor involved for employees under their jurisdiction to attend specific job-related courses without receiving credit and without payment of fees.

Fees are not waived for non-credit courses, correspondence courses, or special credit courses with workshop fees. However, departments may pay for such courses providing the course is of direct value to the employee's current job, a similar credit course is not available at an appropriate time and location, and the request is approved by the campus Chief Business Officer or designee.

Full-time faculty on academic year appointments may take up to 15 quarter or semester hours during the summer session with waiver of fees, provided they are not teaching during that period and are employed by the University for the following academic year.

Appointees to graduate assistantships, graduate teaching assistantships, and graduate research assistantships receive an accompanying fellowship award consisting of waiver of fees.

Except in unusual circumstances, full-time employees are expected to limit course loads to not more than nine semester hours. However, if you take a larger course load, your cost for courses in excess of these limits is prorated according to the following formula:

If you are an eligible full-time or part-time employee and are classified as an out-of-state resident for fee purposes, you may receive waiver of both fees and out-of-state tuition up to the specified policy limits based on your percent of time worked. For courses or hours in excess of these limits, the charge is computed by the above formula, using the out-of-state rates.

In addition to the fee waiver program provided by The University of Tennessee, full-time employees are eligible for a waiver of fees for one course per term at any college, university, or area vocational-technical school within the Board of Regents System. Procedures to take advantage of this benefit are established by the institution at which the employee enrolls.

Fee Discounts for Spouses and Dependent Children

If you are a regular, full-time employee in an active pay status, you are eligible for a student fee discount for your spouse and dependent children who have been admitted to the University as undergraduate students through standard admission procedures.

If you are a regular part-time employee with one or more years of continuous service, working a minimum of 50% time, you are eligible for a pro rata discount based on your percent of effort currently worked.

For purposes of this policy, dependent children are defined as:

1. Persons who are 26 years of age or under and who are the employee's natural children, legally adopted children, stepchildren, and children for whom the employee was a legal guardian at the time the child reached majority age.

2. Other persons who are 26 years of age or under and living in a parent/child relationship with the employee who is a biological relative.

The University, at its discretion, may require satisfactory proof of the relationship or criteria qualifying an employee for eligibility under this policy.

The amount of the student fee discount for spouses and dependent children applies only to and shall be no more than fifty percent (50%) of the undergraduate in-state maintenance fee. The amount of the discount shall be calculated to the nearest even dollar. This waiver is not applicable to out-of-state tuition or separately assessed fees.

Spouses and dependent children of regular faculty and staff, of visiting faculty, and of medical residents and interns are treated as in-state students for fee purposes.

The student fee discount for eligible spouses and dependent children shall be applicable only to undergraduate students at The University of Tennessee at Chattanooga, Knoxville, Martin, and the Colleges of Community and Allied Health Professions and Nursing in Memphis. Eligible spouses and/or dependent children may enroll in any number of courses up to and including full-time study. The student fee discount will not be provided for correspondence and non-credit courses.

Your status on the published first day of classes for each term shall be used to determine eligibility and the amount of the student fee discount. Any change in your status after the first day of classes shall not affect eligibility or the amount of the fee discount for that term. If you meet eligibility requirements after the first day of classes, this benefit will be available at the beginning of the term immediately following attainment of eligibility. Campus and unit Human Resources Officers or their designees are responsible for certifying your eligibility for benefits under this policy.

If you are on leave of absence with pay, on leave of absence due to an on-the-job injury, or on family and medical leave, you will remain eligible for this benefit. Your percent of effort immediately before the effective date of the leave of absence shall determine the amount of the student fee discount. Employees on other types of leave of absence without pay are not entitled to this benefit.

If you qualify under this policy as an employee spouse or dependent child, the policy on employee fee waivers takes precedence.

The following provisions govern the continuation of fee discounts to spouses and dependent children of eligible faculty and staff who, after August 1, 1985, retire from the University or die while still employed.

1. Spouses of employees who had 10 or more years of regular, continuous full-time service with the University immediately preceding retirement or death are eligible for the fee discount for five years from the date of death or retirement of the employee. Dependent children of such employees are eligible for the fee discount through age 26.

2. Spouses of employees who had less than 10 years of regular, continuous full-time service with the University immediately preceding retirement or death are eligible for the fee discount for two years from the date of retirement or death of the employee. Dependent children of such employees are eligible for the fee discount for two years or through age 26, whichever comes first. The discount for children of full-time University employees killed on the job or in the line of duty may be continued at twenty-five percent (25%) through age 23.

3. Spouses of employees who had 10 or more years of regular, continuous part-time service immediately preceding retirement or death are eligible for the fee discount on a pro rata basis for two years from the date of retirement or death of the employee. Dependent children of such employees are eligible for the fee discount on a pro rata basis for two years or through age 26, whichever comes first. The pro rata discount will be based on the percent of effort worked by the employee at the time of retirement or death.
